Privacy Policy

This Privacy Policy (“Privacy Policy”) contains information about the processing of personal data collected in connection with the use of association Jauniešu biedrība “The Raccoons” (“Raccoons”) online resources (“Platform”) and participation (and “Participants”) in the events organized by “Raccoons” (hereinafter “we”, “us”, or “our”), registered in the Register of Associations and Foundations of the Republic of Latvia under registration No 40008309551.

We are committed to protecting your privacy and processing your data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (“GDPR”). This Privacy Policy refers to terms defined in GDPR. We operate as a Controller of your data.

1. For what purposes and which personal data do we process?

1.1.

For Platform users, we collect and process the following personal data provided during account creation: a) email address, b) full name, and c) consent to receive marketing emails. Although providing those data is voluntary, it is required for your identification for the use of certain functionalities, like signing up for events. Indirect registration in the Platform is also permitted when submitting a Participant registration form for activities if Participant consent is provided.

1.2.

In the case of Participants, we collect and process the following personal data provided through the event registration form: a) full name, b) email address, and c) other data explicitly requested in the registration form, including but not limited to date of birth, phone number, dietary restrictions, t-shirt size. Although providing those data is voluntary, it is required to become a Participant of the event.

1.3.

In addition, photographs and video recordings of Participants may be made during the events for marketing purposes, including, but not limited to publishing online if appropriate consent is provided.

1.4.

User's data referred to in 1.1. are processed for the following purposes:

  • • To personalize communication and address you properly.
  • • To contact you and inform you about events organized by us and our partners. Subscription to non-participation-specific (marketing) emails is voluntary and can be withdrawn at any time.

1.5.

Participant's data referred to in 1.2. are processed for the following purposes:

  • • For administrative purposes related to the participation in the event.
  • • To ensure the safety and security of the event.
  • • To provide you with an improved service experience.

1.6.

We also collect data about your interaction with our Platform and its associated services, including your IP address, browser type, operating system, pages visited, and referring website addresses. This information is collected through cookies and similar tracking technologies and is used to analyze website traffic and user behavior to improve our Platform's functionality and to monitor and prevent fraudulent or unauthorized access to our Platform.

2. How long will we keep your personal data?

2.1.

Full registration data of Participants - up to 3 months after the event end date.

2.2.

Anonymized or summarized data of non-identifiable information about participants, including but not limited to interests, level of expertise or event feedback ratings may be preserved to use for further decision-making. While still associated with Participant for the period mentioned in 2.1., you reserve the right to withdraw this data.

2.3.

User information and media mentioned in 1.3. and their associated consents are preserved until request of its withdrawal.

2.4.

We will retain automatically collected profiling data mentioned in 1.6. for as long as necessary to fulfill the purposes for which it was collected.

3. Who do we share your personal data with?

3.1.

Participant data is shared with the main organizing team of the event for administrative purposes.

3.2.

User data is shared with a limited number of members and our trusted associates to maintain our operations. User data is stored in our secure servers located in the European Union with limited authorized access to them.

3.3.

Upon Participant's or User's clear consent, full or partial data may be shared with our partners and then are subject to their privacy policies.

3.4.

We use Google Workspace for organizational purposes. As a result, your data is also stored on Google servers, and they may process some of your personal data. Google's data processing practices are governed by their own privacy policy available online at https://policies.google.com/privacy.

3.5.

If necessary for administrative purposes, full or partial Participant data may also be stored by other trusted third-party service providers, and hence are subject to their privacy policies.

4. Your rights

4.1.

You have various rights in connection with the processing of your data. Any requests or questions related to data we store and process, or your rights, may be submitted to us by e-mail (hello@theraccoons.org).

4.2.

You have the following rights:

  • 4.2.1. Right to request access to your data.
  • 4.2.2. Right to change your data: you may request to introduce appropriate changes to the data we store.
  • 4.2.3. Right to withdraw: you may request that your data be erased indefinitely.
  • 4.2.4. Right to object or restrict: you may request that the processing of your personal data be restricted or terminated indefinitely. Said explicitly, you have an absolute right to object to the processing of your data for marketing purposes, including profiling related to direct marketing.

4.3.

If you consider that we process your data unlawfully, you have the right to lodge a complaint with a supervisory authority, which in Latvia is the Data State Inspectorate(Datu valsts inspekcija) according to their regulations.

5. Cookies

5.1.

As mentioned in Section 1.6., we use technologies, such as cookies (including but not limited to third-party cookies of Google Analytics and Sentry) to collect and process your data to analyze traffic on the Platform. You can review, delete, or disable cookies in your web browser settings. If you choose to do so, you may use the Platform, but its certain functions may be limited. Using the Platform without disabling cookies in your browser settings will be understood as your consent to the use of cookies.

6. Changes to this Policy

6.1.

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will notify you of any material changes by posting the revised Policy on our Platform. We encourage you to review this Policy periodically. Your continued use of our services after the revised Policy becomes effective indicates your acceptance of the changes.

6.2.

This privacy policy will be effective as of 19th of September, 2024.
